On completion of the form and the Hall Booking Team checking the dates are available, you will receive confirmation of your booking and an invoice.
For non-repeating bookings, payment is required within 48hrs of you receiving our confirmation and only then will the date be reserved on the calendar.

Notes on Booking the Hall
The Village Hall Committee cannot be held responsible for any other costs incurred by you prior to your event being added to the calendar.
- Bookings can be cancelled up to a week (7 days) before the booking date for a full refund.
After that refunds are paid at the discretion of the Booking Team in accordance with our “Rules of Hire”. - On completion and submission of a request and the Hall Booking Team checking the dates are available, you will receive confirmation of your booking, an invoice and details on how to pay.
- Full Payment is required within 48hrs of you receiving our confirmation email and only then will the date be reserved on the calendar.
- No pre-payment is required when booking recurring events. We will contact you to discuss these arrangements.

About the Hall & Rules of Hire
The following selections will expand (hit the “+” as you review.)
It is a combination of our Brochure and our policies in bite size pieces… We hope they are clear and helpful. Any questions, just ask.
We highly recommended that you go over the “Rules of Hire” before you make a booking request.

Parking
- The Village Hall has a private car park. (from 10 to 15 cars, if you stack)
- Across Hogbrook Hill Lane, Alkham Village Green is larger and open to the public.
Lighting
- Lighting is by fluorescent tubes, but we also have dimmable LED lighting.
Furniture
- There are 96 red plastic seated chairs, 20 padded seated chairs and 3 wooden chairs.
- There are 10 Gopak folding tables 1800mm long and 8 which are 900mm long plus 6 steel folding tables 600mm in diameter.
- The use of these are included in the hall rental but there additional fees may apply when used outside (e.g. £6 per table & £1 per chair)
Kitchen & Accessories
- The kitchen meets all local regulations along with 2 tea kettles, an electric hob/oven, a warming oven, a normal fridge, an small under counter freezer, a small microwave, and a large hot water urn.
- There is a comprehensive collection of cutlery, plates cups and saucers, glasses, saucepans plus numerous other items.
Facilities
- There are toilets for the disabled with a baby change area along with separate ladies and gent’s toilets with family seats.
- There is a gas combi-boiler that provides the central heating and hot water.
Sound & Vision
There are two AV projectors
- The main one mounted on a cross beam that can project onto a large screen which has an electric motor to open and retract it.
- The other projector is mounted on a cross beam in front of the stage and projects to a roll down screen on the back wall.
- There is a hearing loop
Connections for laptops
- There is coiled VGA cable halfway down the hall to connect to the main projector plus an HDMI cable in a small blue cupboard by the hi-fi unit.
- The blue cupboard also has a VGA cable to connect to the projector in front of the stage.
Audio
- There is an amplifier with a number of speakers which can be used with DVD’s or music plus a microphone.
Stage
There is a 3.1 metre deep stage at the end of the hall which can be reduced in length, if necessary.
Basics on duty of care as renter of the Hall
For the fine print, see “Rules of Hire” (esp. Item 7) but basically, :
- abide by noise abatement rules (quiet from 11 pm-7:30 am)
- leave hall clean & tidy with rubbished removed
- all the furniture stowed
- all the taps/lights/heat/power turned off
- all the windows closed, doors locked
- the keys returned
Discretionary Deposit (where applicable)
Functions meeting any of the following conditions, are subject to a discretionary £ 50 deposit. The deposit is fully refundable if our rules of hire are complied with, and no damage has occurred.
- longer than 2 hours
- more than 10 people
- involves food or drink,

The *cost for booking the hall is at an hourly rate as follows::
- For Parishioner, private functions, the rate is £ 10 per hour
- For Non-parishioner, private functions, the rate is £ 15 per hour
- For Commercial use, the rate is slightly higher is £ 18 per hour
Note: A “commercial” activity is where personal profit is made from the event. This does not apply to “charity” activities.
The full terms for the hire of the hall are shown below in the ” Rules of Hire.”
1. Rules of Hire
- Application for hire of the Hall shall be made to the Bookings Secretary. At the time of booking, the Hirer shall sign a copy of these Rules of Hire by way of acknowledgement and acceptance of their content.
- The Hall shall not be let to persons of less than twenty-one years of age.
- The Hirer shall be responsible for the observation and performance of these Rules of Hire whether or not the Hirer is present in the Hall during the period of Hire.
- Hiring charges together with a deposit as hereinafter referred to shall be paid at the time of booking or otherwise by arrangement with the Booking Secretary.
- The right to refuse any application for the hire of the Hall and to refuse admission to any individual without reason is reserved.
- All hirings of the Hall are subject to the rights of the Committee to cancel the hiring on giving to the Hirer, except in the case of emergency, eight weeks’ notice of cancellation
2. Permitted Number of Persons
The maximum number of persons permitted in the Hall at any one time is 100. In the case of an exhibition of any kind, the maximum number of persons is 80.
3. Candles / Fireworks
The use of candles or any other form of naked flame within the Hall is strictly forbidden. Birthday Cake candles the exception. No fireworks allowed.
4. Tobacco
The smoking of tobacco in any form within the Hall is strictly forbidden.
5. Alcohol
The consumption of alcohol within the Hall is not permitted without the express permission of the Alkham Village Hall Committee such permission to be requested at the time of booking the Hall. Although the Committee reserve the right to withhold permission, they will generally grant permission for alcohol to be consumed at functions of organisations situated within the Parish of Alkham provided that such alcohol is dispensed without charge as part of the function. If alcohol is sold or included in the ticket price of the event or is offered as a prize for which tickets are purchased, such as a raffle, then it is the responsibility of the Hirer to obtain or to ensure that he has the benefit of all and any licences permits or the like required by law for the purpose for which the Hall is to be used or any activity undertaken during the hiring.
6. Finishing Time
All functions shall finish, and the Hall be vacated by 12:00 am.
7. General
- It is the responsibility of the Hirer at the end of the hire period to ensure that:
(1) The Hall is in a clean and tidy condition
(2) All food stuff and rubbish have been removed from the premises and taken away.
(3) All furniture has been properly stacked
(4) All taps have been turned off
(5) All heaters, lighting and power points have been switched off
(6) All windows and doors have been secured
(7) The key to the Hall has been returned to the Booking Secretary. - The cost of repair of any damage to the Hall or its contents caused during the hire period shall be the responsibility of the Hirer.
- A deposit of £ 50 shall be paid to the Booking Secretary as required by Rule 1 (d) above and if the booking is cancelled 6 weeks or less before the booked date the Committee will retain half the deposit as a cancellation fee. On completion of a booking the deposit will be returned to the Hirer when the Committee or their authorised officer is satisfied that ^ there is no damage to the Hall or its contents requiring repair at the expense of the Hirer.
- The Committee accept no responsibility for loss damage or injury suffered by the Hirer or any persons occupying the Hall during the hire period howsoever caused.
- No furniture or equipment may be removed from the Hall at any time for any purpose.
- No supply of electricity, gas or water may be taken at any time for any use or purpose outside the hall.
- The village green, which is opposite the hall is owned by the Parish Council and is nothing to do with the village hall. It is a public open space but if a hirer wishes to use the village green as part of an event, they must make their own arrangements regarding the use of the green and also arrange their own insurance.
